A frustrating aspect of coaching is having to remind your coaching clients to take action. This is something that all businesses deal with; you’re not alone. That being said, there is an art to writing reminder emails that don’t feel like you’re reprimanding your coaching clients. In this article, we’ll teach you how to write reminder emails that inspire your coaching clients to take action AND strengthen the coaching relationship.

Examples of Reminder Emails for Coaches

Coaching reminder emails are emails that you send to remind a client to take an action. The following types of emails count as reminder emails:

  • Payment reminder emails
  • Reminder emails to book a coaching session
  • “Homework” reminder emails
  • Follow-up emails for proposals/invoices

Tips to Write Reminder Emails that Inspire Coaching Clients to Take Action

Give Your Clients the Benefit of the Doubt

Your coaching clients get busy, just like you. It doesn’t mean they don’t value your coaching; it’s likely they just forgot. Give your coaching clients the benefit of the doubt instead of assuming malicious intent. The best way to approach reminder emails is to write it as if they are reminding clients that just forgot.

Motivate, Don’t Threaten

Shaming or threatening your coaching clients will not get the results you want. If you want to inspire your coaching clients to take action, use positive encouragement. Remind your coaching client what is awaiting them on the other side of this action. Get them excited about booking that meeting or paying the invoice so they can access that.

Don’t Apologise

Reminder emails are not bad or annoying; they are helpful. As we said earlier, people forget things. Reminder emails give them a chance to fix things. Can you imagine if your electricity just got shut off without any reminder? We like the reminders. Don’t apologise for reminding your clients.

Keep it Brief

Keep your reminder email polite but stick to the point. Reminder emails have one job, to remind your coaching clients to take action. It is not the time to heap extra information on your coaching clients.

It is also not the time to waffle and talk around the issue. Get to the point in a sympathetic way.

Send a Link

Link to whatever your coaching client needs to take action right then and there. That may be a link to your calendar tool so your client can book their next coaching session, that could be a link to a payment form, it may even be attaching the workbook so they can look it up when they want.

How to Write Coaching Reminder Emails

Start with the subject line. The subject line of your reminder email needs to tell your coaching client what is inside the email in a friendly way. For example:

  • Ready for your next session?
  • Book your next session
  • Invoice reminder

Next, the greeting. Use your standard greeting and call your client by name. Then, get to the point. Try lines like these:

  • I noticed that your next session isn’t in my calendar yet. 
  • I haven’t received payment on your invoice.
  • Just a friendly reminder that your coaching session is booked for DATE.
  • I haven’t received a response to my last email requesting a testimonial.

Then, remind your client what awaits them on the other side of the action you want them to take. Send them the link so they can take action.

Finally, let them know they can contact you if they have any questions and sign off.
